Recently your official email id has been changed. So you are a bit worried regarding how will you let all your contacts know regarding this?
Changing of your official email id is not such a big deal if you know the steps required for performing smooth transition.
Now you must be thinking, smooth transition means? It means, there will be certain steps which will totally reduce the friction/ inconsistencies which may arise due to this type of change.
If you haven’t face this type of scenario ever or you never had to take care of this kind of situation till now, then you may be a bit confused.
But changing of your official email id is not at all a big headache as you are taking. You just have to know the proper way of accomplishing it. Don’t just do it all in a hurry.
Because sometimes I have seen that many newbies or inexperienced persons face this hurdle due to not having proper knowledge. & after the change of their official email id without proper care they start facing different.
That’s why I am asking you to wait & know proper steps first. Then delve into it.
So now coming to the main point, what steps you should take to avoid inconsistencies/ problems that may arise when you have planned/ decided to change your official email id?
5 things you should be concerned about!
#1. Take a full backup of your existing email id
It’s the foremost step. Before doing anything else at first confirm it & be double sure that not a single mail have been missed out. Take a complete backup in proper format, it will be required later to import.
By any means, if you forgot this step then it can be a disaster. Because there will be no trace of emails from your previous inbox, sent items & drafts. So keep this thing in mind.
#2. Send everyone a formal email
Before doing the migration send every one of your contacts a formal mail that from this date your official email id is getting changed & further communication will be done from a new mail id which you have mentioned.
But keep a safe time before the changing of email. It’s not that as soon as you will send the email everyone will read. So send the informative mail at least 10 to 15 days before migration.
#3. In your mail signature you can mention the new mail id
Yes! This can be another technique/ way to make it more visible to whom you are mailing. Just add you upcoming mail id in your existing email signature.
If your email signature is well designed & crafted nicely then it should definitely grab the attention. So here if you can mention you new email id that can also be a great way to let people know.
#4. Keep your old email id for few months
After purchasing the new service don’t abandon your old email id overnight. I know all the migration steps has been finished but still don’t abandon your old email id for few weeks/ months.
Because you never know, if 100% of your contacts have got/ read the update or not. So after the new mail setup when you are continuing your old email id too, if any email comes over there (in your old email id) don’t forget to let him/ her inform about your new email id.
#5. Set forwarder to your new email id
When you are continuing your previous mail id don’t forgot to set an email forwarder properly to your new one. So you don’t have to visit your old email id always to check whether any new emails have come or not.
As the forwarder has been set to your new email id, so whenever any new email will come to old email id that will be redirected to the new one.
So as per my suggestion, when you are planning to change your official email id, try to follow these steps carefully.
