For many professional reasons we have to follow-up our emails constantly, it’s the part of our work. But it creates problem when this, means checking emails too frequently becomes a habit.
You may think, isn’t it important? If any client sent us any important email & we don’t check it or respond it timely, then will not the business & client relation get hamper for this kind of reluctant attitude?
Definitely, it will. But here my perspective is quite different. here I am not saying you to be reluctant or casual with these kind of serious matters but what am I telling is check email but maintaining a proper schedule not frequently or constantly.
Because it’s important but not above your main work, if checking emails too frequently hampers your main work then ultimately the loss is yours. Both are important but you have to prioritize which is most.
Lets say you are constantly checking up all the emails of your clients and in the process of doing it frequently, if your productivity drops and you can’t deliver on time then will it be considerable? Think about it!
I hope not, definitely not. Right? So, in this piece I am going show you in detail what problems you may face due to this kind of habit with its remedy.
Let’s say you are a Freelance Web Developer, so for the sake of your work you have to constantly check & followup your emails because it’s one of the primary way to communicate with clients regarding every nitty-gritty details of the project.
So how can you just ignore it ? Obviously not, I am also not saying this. I am just trying to showcase the problem causes through this.
It’s important and highly necessary but if you make it your habit and each 5-10 minutes later you check emails then it hampers a lot of time as a whole, breaks the concentration and ultimately decreases productivity and you miss the timeline of the delivery.
I am coming into detail. How it hampers time? If you are checking emails too frequently just as mentioned above then think, if you work for 8 – 10 hrs a day then can you imagine how much time will be wasted due to this?
Concentration is a factor which is highly required to accomplish any task on time and if your habit of checking emails too frequently persists as I described above then you will never able to concentrate on your main job because all time in the back of mind your thinking about emails.
So when a huge amount of time get wasted and you are not be able to concentrate on your job then decrease in productivity is bound to happen.
Now tell me, due to this whole circumstances, if you lose your client for not being able to deliver the project on time, then will it be considerable? Never, right ? Yes.
So what is it’s remedy ?
It’s simple and you can easily follow it. How ?
Make a proper schedule for all your email related activities. Let’s say 5 – 6 times a day you will read all the emails, give required response and do other associated things.
But all in a predefined schedule. Not too frequently and at the same time not too infrequently. So, by maintaining a rhythm you will be able to maintain the natural pace of work without disturbing the scheduled time frame.
One more thing you have to always keep in mind, which is apart from the scheduled time you will never ever check emails during work and make it a habit.
So that’s all. These are all my own experiences which I have shared with you. So try it and make it a habit, it will take some time but at the end you will be benefited to a great extent.
